Job Title: Administrative Assistant to the Pastor
Reports To: The Pastor of Ebenezer Baptist Church
Location: Ebenezer Baptist Church
Status: Full-Time
Position Summary
The Administrative Assistant serves as the Pastor’s right hand, providing high-level administrative, organizational, and interpersonal support to facilitate the smooth operation of the church. This individual must be trustworthy, resourceful, and tech-savvy, with a heart for service and the ability to manage day-to-day operations with kindness, professionalism, and discretion.
Key Responsibilities
Administrative Support
- Manage the Pastor’s personal calendar and the church-wide master calendar.
- Answer and direct phone calls; open and distribute mail appropriately.
- Draft and route correspondence; ensure communication reaches the correct individuals.
- Schedule meetings and appointments; coordinate logistics as needed.
- Welcome and direct visitors with warmth and professionalism.
- Maintain confidentiality regarding church and member matters.
Ministry & Event Coordination
- Prepare the weekly church bulletin, including gathering announcements and formatting.
- Assist with funeral and memorial service coordination:
- Liaise with funeral homes.
- Schedule family meetings with church staff and the Pastor.
- Draft acknowledgments for services.
- Communicate service details to congregation and ministry teams.
Technology & Communications
- Use Microsoft Office, MailChimp, and church software to complete daily tasks.
- Proficient in managing websites and social media platforms to enhance outreach and engagement
- Produce and distribute church-wide communications as needed.
Financial & Recordkeeping Support
- Assist in handling tithes, offerings, and donations (as needed, under church policy).
- Support the preparation of acknowledgments or financial documentation.
Qualifications and Skills
- Proficiency in Microsoft Office, MailChimp, and willingness to learn new software.
- Strong interpersonal and communication skills.
- Highly organized, able to multi-task and manage projects independently.
- Professional, welcoming, and firm when needed.
- Emotionally mature; shows compassion, empathy, and a “heart for ministry.”
- Ability to maintain confidentiality and work with discretion.
Preferred Attributes
- Comfortable interacting with grieving families and the public.
- Self-starter who communicates clearly and keeps the Pastor informed.
- Thick-skinned and resilient in a fast-paced, people-facing role.
- Not required to be a minister but should possess a “welcoming spirit.”
